AI for Pickleball Clubs: What We Talked About on the Pickleball Innovators Podcast

Written byBrandon Hurter, Founder & CEO, Pivot180 AI

Pivot180 founder Brandon Hurter joined the Pickleball Innovators podcast to talk AI for membership clubs. Here's what we covered and what it means for your club.

Pickleball clubs are not just sports venues anymore. They are membership businesses, and that shift brings a level of operational complexity that court reservations and a front desk staffer were never built to handle. I had a great conversation about exactly this on the Pickleball Innovators podcast, and I want to share the highlights here for club operators who want the substance without sitting through the full episode.

AI That Gives Club Staff Time Back for Members

Brandon Hurter on Pickleball Innovators·Audio

Brandon Hurter joins Pickleball Innovators to talk about how clubs can use AI to take on administrative work and repetitive manual tasks while keeping the member experience personal and dynamic. He covers agents that fill under-registered events and re-engage dormant members, how to pick repetitive, friction-heavy tasks to automate, and when to build versus buy.

Why Pickleball Clubs Are Feeling the Operational Squeeze

The core challenge for pickleball operators today is not the sport itself. The sport is growing fast, and that growth is the problem. You started with courts and a booking system. Now you are managing memberships, leagues, clinics, events, food and beverage, retail, and member communications, often with the same small staff you had when the operation was simpler.

The model is shifting toward something that looks a lot more like hospitality than athletics. Members expect fast communication, easy booking, great programming, and they want to feel like a person, not a number on a roster. Delivering that at scale with a one or two-person staff is genuinely hard.

The staffing math does not work without help

You cannot just keep adding headcount to meet rising member expectations. The math stops working. A marketing coordinator can only write so many emails. A membership director can only make so many personal calls. At some point, you need technology to carry the load on the repetitive, administrative work so your people can spend their time doing the things only humans can do: being present with members, solving real problems, building community.

That is where AI fits into this picture. Not as a replacement for your staff. As a way to give them their time back.

What AI Actually Does for a Membership Club

AI's role in a club operation is to handle the work that is repetitive, predictable, and time-consuming, so your team can focus on the work that is not. Here are the specific use cases we talked through on the podcast.

New member onboarding

Onboarding a new member involves a surprising amount of manual clicking, copying, and pasting. Waivers, welcome communications, getting someone into the right systems, updating records. None of that requires a human decision. It requires time and accuracy, and AI handles both better than a distracted staff member at the end of a busy Saturday.

Member questions around the clock

What happens when a member texts or emails at 9 PM asking about clinic availability or gate hours? Without AI, either they wait until morning or someone on your team gets pinged on their personal phone. An AI assistant can handle those common, predictable questions automatically, any time of day, without bothering your staff and without making the member feel ignored.

Event fill and re-engagement outreach

This is the one I am most excited about right now, because we are building it live for a golf and country club in Cincinnati.

The club's problem was familiar: they create events, promote them by email, and then check registrations a week out only to find two people signed up. The event gets cancelled. Nobody wins.

We built them an AI outreach agent that works like this:

  1. Staff feeds the agent the event details: what it is, when it happens, and what type of member would be a good fit.
  2. The agent pulls a target list from their membership system, Jonas, based on that profile.
  3. It sends personalized outreach by text or email to invite those members.
  4. Once someone registers, the same agent flips into reminder mode: a week out, a day out, an hour before. Show rate improves.

No extra staff time. The agent runs in the background while your team focuses on delivering the event.

Dormant member re-engagement

Every club has members who have quietly stopped showing up. Maybe life got busy. Maybe something frustrated them and they did not bother saying anything. Either way, they are paying dues and drifting toward cancellation.

An automated outreach agent can check monthly for members who have not visited in 30, 60, or 90 days and send a personal-feeling message with a simple offer: "We haven't seen you on the courts in a while. Here's 15% off your next booking." That kind of proactive outreach used to require a staff member to pull a report, build a list, write emails, and send them one by one. Now it runs on its own.

What to Do If AI Feels Overwhelming

A lot of operators hear "AI" and immediately picture massive tech projects or enterprise software budgets. That is not what this is.

My advice: stop paying attention to the broad AI conversation and start looking inside your own operation. Find the thing your receptionist complains about every Friday afternoon. The task that takes three hours and could be done by anyone who had enough patience. The report someone pulls manually from two different systems every week. Those are your starting points.

Sometimes there is an existing tool that solves it. If you are already in a Microsoft or Google environment, you may already have access to Microsoft Copilot or Google Gemini and not know it. You do not always need new software. You need someone to walk you through what you already have.

And sometimes, a custom build makes more sense than buying something off the shelf. A tool built for a generic membership club may not fit the way your specific club actually operates. If you run a larger facility with more services than most, a templated solution might give you 70% of what you need while costing you 100% of the price. A custom AI workflow built around your systems and your staff's actual process can be more affordable in the long run and fit the job better.

Where the Industry Is Heading

Three trends worth watching if you operate a pickleball or membership club:

  • Consolidation of tools. Clubs are moving away from running 10 to 15 disconnected applications and toward fewer, more connected systems. AI can act as an integration layer that sits on top of your existing tools and surfaces insights across all of them.
  • Better use of member data. Clubs are starting to ask the right questions: Which programs drive the most retention? Which courts are underused? Who is disengaging and why? The answers exist inside your systems. AI can pull them together and surface them in a single view.
  • Agents that do work, not just answer questions. The most practical next step for most clubs is not using AI to write better emails. It is deploying AI agents that perform specific tasks inside real business workflows: reading a membership record, making a decision, sending a message, updating a system. That is where the real operational leverage is.

Frequently Asked Questions

What can AI actually do for a small pickleball club with limited staff?

AI is most useful for handling the repetitive administrative work that takes your staff's time without requiring human judgment: answering common member questions after hours, sending event reminders, onboarding new members into your systems, and doing outreach to dormant members. These are tasks that happen constantly and predictably, which makes them a good fit for automation.

How much does it cost to build a custom AI workflow for a membership club?

Cost varies based on what you are building and what systems you already use, but custom AI workflows built for small membership clubs are often more affordable than buying an off-the-shelf platform that does not quite fit your operation. A first conversation with an AI consultant like Pivot180 costs nothing and usually surfaces two or three specific opportunities quickly.

Do I need to replace my current software to use AI at my club?

Usually not. Many AI tools and agents are designed to connect to your existing systems, whether that is a membership platform like Jonas, a booking tool, or your email system. AI can sit on top of what you already have and make it more useful, rather than requiring you to start over.

Is AI only practical for large clubs with big tech budgets?

No. The use cases with the fastest payoff for small clubs are also the simplest: automating member outreach, handling after-hours questions, and re-engaging dormant members. None of those require enterprise-level budgets. If you are already in a Microsoft or Google environment, you may already have more AI capability than you realize.

What is the difference between using ChatGPT and deploying an AI agent for my club?

Using ChatGPT to write an email or summarize a document is useful, but it is a one-way interaction. An AI agent is different: it performs a defined job inside your actual business process. It reads data, makes a decision, triggers a message, and updates a record, without someone sitting at a keyboard asking it questions. Agents work in the background while your staff focuses on members.

How do I know where to start with AI at my club?

Start by looking for the most painful, repetitive task in your operation. If someone on your team dreads it every week, that is your starting point. You do not need a strategy document or a technology roadmap. You need one workflow that is costing your staff hours and can be handed off to an AI tool or agent. Fix that first, see the result, then move to the next one.

Find out if your club is ready to automate the work that's slowing your team down.
